MotaMate Privacy Policy

Covers the MotaMate garage management platform — the web dashboard, the staff app, and the customer app.

Effective September 2, 2026 Last updated September 2, 2026

In short

  • MotaMate is three connected apps: a web dashboard for garage staff, a staff app for the shop floor, and a customer app for car owners.
  • We collect what's needed to run a booking — your contact details, vehicle details, and job/quote history — plus checklist photos taken by the garage's staff.
  • Every garage only ever sees its own customers and jobs — never another garage's data.
  • We never sell your personal data, and we don't store your full card number.
🔧
Two kinds of accounts. Garage staff accounts (Owner, Manager, Service Advisor, Foreman, Technician, Cashier, Storekeeper) are created by a garage's Owner or Manager. Customer accounts are self-registered in the customer app by the car owner. This Policy covers both.

01Introduction & scope

This Privacy Policy explains how VultureNest ("VultureNest," "MotaMate," "we," "us," or "our"), the developer and operator of the MotaMate platform — comprising a web dashboard, a staff mobile app, and a customer mobile app (together, the "Service") — collects, uses, discloses, and protects information when the Service is used.

MotaMate is provided to independent garages as customers of VultureNest. Each garage is the operator of its own customer and job data; VultureNest hosts and processes that data on the garage's behalf, as described below.

By creating an account or otherwise using the Service, you agree to the collection and use of information as described in this Policy.

02Who uses MotaMate

Garage staff are issued an account by their Owner or Manager, with one of the following roles:

Owner
Full access, including Settings, staff, and reports.
Manager
Day-to-day operations across most screens.
Service Advisor
Customers, vehicles, check-ins, checklists, quotes.
Foreman
Assigns work, moves jobs through stages.
Technician
Their assigned jobs and checklists, on the staff app.
Cashier
Till, invoices, and payments.
Storekeeper
Parts inventory and pricing.

Customers use a separate customer app: they register themselves, add their vehicle, book a service, track its progress, and approve quotes.

03Information we collect

Customer account & vehicle data

  • Full name, email address, phone number (optional), and password;
  • Vehicle details — number plate, make, model, year, and colour;
  • Booking details — branch, service type, requested time slot, and job status history.

Staff account data

  • Full name, work email (used as login), phone number, role, and branch assignment;
  • Actions taken in the Service, such as check-ins, checklist completions, and quotes created.

Job & quote data

  • Job cards — concern, mileage, fuel level, and work carried out;
  • Pre-repair checklist results and photos taken by staff;
  • Quotations, line items, and quote PDFs, which include the garage's branding and your vehicle's number plate.

04Camera, location & notifications

The MotaMate apps request a small number of device permissions. Each can be managed from your device settings.

PermissionWhy we ask
Camera & photo librarySo a Service Advisor or Technician can attach photos to a pre-repair checklist as evidence of the vehicle's condition. Only accessed when a photo is added.
LocationTo help a customer find and select the nearest garage branch when booking.
Push notificationsTo send booking confirmations, quote-ready alerts, and job-status updates.

05Payment information

Payments are recorded by a garage's Cashier through the web dashboard, using channels such as cash, mobile money (EcoCash, OneMoney, InnBucks), or Visa card, depending on what a garage accepts. Card payments are processed by third-party payment providers — MotaMate does not store your full card number.

06How we use information

We use the information processed by the Service to:

  • Create and manage staff and customer accounts;
  • Take bookings, create job cards, and move jobs through their stages;
  • Record pre-repair checklists and photos as a condition record for each job;
  • Create, send, and track quotations, and generate quote and invoice PDFs;
  • Send booking, quote, and status notifications;
  • Secure the platform and investigate suspected misuse.

07Data protection design

One garage, one dataset

Each garage only ever sees its own customers, vehicles, and jobs — never another garage's data.

Role-based access

Staff only see the screens their role needs — a Technician sees far less than an Owner.

Branch scoping

Where a staff account is limited to one branch, it cannot see other branches' bookings or jobs.

Job status trail

Every job's stage history (booked in, in progress, invoiced, paid) is recorded and visible to the customer.

08Sharing & disclosure

We do not sell personal data. Information is shared only:

  • With the garage you book with — your contact, vehicle, and booking details, so the garage can carry out and bill for the service;
  • With payment providers — to process card payments where a garage accepts them;
  • With service vendors — cloud hosting and support tools that process data on our behalf, under confidentiality obligations;
  • Where legally required — to comply with a legal obligation, or protect the rights and safety of VultureNest, a garage, or their customers.

09Data retention

We retain account, job, and quote data for as long as your account is active and as necessary to provide the Service, resolve disputes, and meet the garage's accounting and legal obligations. When you delete your customer account, we delete or anonymise your personal data within a reasonable period, except where retention is required by law.

10Your rights & choices

Subject to applicable law, including Zimbabwe's Cyber and Data Protection Act, you have the right to:

  • Access the personal data we hold about you;
  • Correct inaccurate or incomplete data;
  • Request deletion of your data, where it is not needed for an open job or legal obligation;
  • Withdraw consent for optional permissions, such as location or notifications, at any time.

To exercise these rights, contact us using the details in Section 14, or your garage directly for job-specific records.

11Children's privacy

The Service is not directed to, and is not intended for use by, anyone under the age of 16. We do not knowingly collect personal data from children through the Service.

12International transfers

Some of our service providers, such as cloud hosting vendors, may process data outside Zimbabwe. Where this occurs, we take reasonable steps to ensure your information receives an equivalent standard of protection.

13Changes to this policy

We may update this Policy from time to time. We will update the "Last updated" date above and, for material changes, notify users through the Service or by email.
